UXN AI is the brand used by UXN AI, based at JDM Appartment 27, Dwarka, Delhi, India; Limbacher Straße 19, 91126 Schwabach, Germany. That operator is responsible for the personal information collected through this website. For privacy questions or requests, contact info@utopianxn.com.
This policy covers visitors, prospective business customers and people who choose to receive our updates. It does not replace a customer’s own privacy notice or the data processing agreement for a separately contracted AI implementation.
If you interact with an assistant deployed for one of our customers, that customer’s notice and the applicable service agreement explain the relevant processing. Contact that business first for requests relating to its customer records.
02Information we collect
- Inquiries: your name, business email, company, selected service, message, and follow-up correspondence.
- Email updates: your email address, your explicit opt-in, the wording and policy version shown to you, and the submission time.
- Security and operation: IP address for temporary rate limiting, request metadata, and technical logs held by the hosting and delivery services.
- Privacy requests: the information needed to understand your request and, where necessary, verify that it relates to you.
Information is provided directly by you or generated when your browser connects to the website. We do not purchase contact lists for this website. You can browse without submitting a form. Required fields are marked in the form; without them we may not be able to respond.
Do not include passwords, payment card details, government identifiers, health information, customer databases, or other sensitive information in an inquiry. Use anonymized examples until a suitable secure channel and agreement are in place.
03How and why we use information
- Respond to your request: understand your requirements, answer questions, and discuss a possible engagement. An inquiry is not a marketing subscription.
- Send requested updates: only when you separately choose to opt in. You can withdraw that permission.
- Operate and protect the website: deliver pages, prevent abuse, investigate faults, and manage delivery failures.
- Meet legal responsibilities: handle rights requests, comply with lawful requirements, and establish or defend legal claims where necessary.
04Permission and other lawful grounds
For processing governed by the GDPR, we rely on Article 6(1)(a) for optional marketing consent; Article 6(1)(b) for steps you request before entering a contract; Article 6(1)(f) for necessary business correspondence and security, balanced against your rights; and Article 6(1)(c) for legal obligations. In practical terms, we use your permission for optional marketing; steps you request before entering a contract for relevant business inquiries; and our legitimate interests in responding to business contacts, securing the website and resolving issues, subject to your rights. We also process information when required by law. Where local law requires consent for a particular activity, we obtain it rather than relying on a different ground.
Withdrawing consent does not affect processing that was lawful before withdrawal. We do not make decisions with legal or similarly significant effects about you using automated processing on this website.
05AI and your information
The support conversations displayed on this website are illustrative examples. They are not a live AI assistant. Website form messages are routed to our inbox; the website does not send them to a language model or use them to train one.
For a commissioned AI solution, data sources, model providers, permitted uses, retention, access controls and responsibilities must be documented separately before customer data is connected. This website policy does not authorize unrestricted use of your data to train AI systems.
07How long information is kept
We keep information only for the purposes described here and for any applicable legal obligations. The following schedule is the proposed operating policy for launch:
- Unconverted inquiries: delete or anonymize within 12 months of the last substantive contact, unless an ongoing discussion, dispute or legal requirement justifies longer retention.
- Customer engagement records: the service agreement and applicable accounting, tax and claims requirements determine retention.
- Marketing records: keep while the subscription remains active; review inactive subscriptions after 24 months. Stop marketing on withdrawal and retain only a limited suppression record where needed to honor the choice.
- Rate-limit entries: usable for up to ten minutes; expired entries are removed on subsequent requests or when the application restarts. Hosting and email-provider logs have separate retention settings that must be confirmed before launch.
- Rights requests and consent evidence: retain the minimum records needed to demonstrate how the request or choice was handled and meet applicable legal requirements.
Email copies and provider records require deletion through the relevant services; the website does not automatically delete inbox records. Restricted backups may remain until their normal expiry, and narrowly scoped legal holds may delay deletion. Ask us about the retention applicable to your information.
08Keeping information secure
The application validates form input, checks request origins, limits repeated requests and keeps email credentials on the server. Production connections should use HTTPS. Access to inboxes and provider accounts must be limited to people who need it.
No internet service or email system can guarantee absolute security. We will assess suspected incidents, take appropriate steps to contain them and notify affected people and authorities when applicable law requires. Please contact info@utopianxn.com if you believe information has been exposed or misused.
10Your choices and rights
Depending on the law that applies, you may have rights to access, correct, delete or obtain a copy of your information; restrict or object to processing; withdraw consent; and complain to a relevant data protection authority. These rights can have lawful exceptions and are not identical in every country.
Send a request to info@utopianxn.com. Describe what you need and use the email address associated with your inquiry or subscription where possible. Do not send identity documents unless we explain why proportionate verification is necessary. We respond within the deadlines required by applicable law and explain any lawful refusal or extension.
To stop updates, use the unsubscribe option in a marketing message, reply asking to unsubscribe, or email the privacy contact with “Unsubscribe” in the subject. An unsubscribe request does not prevent necessary replies to your separate inquiry or service communications. For GDPR requests, we normally respond within one month; a legally permitted extension will be explained within that period. You have an unconditional right to object to direct marketing. You may complain to the authority where you live, work or believe an infringement occurred without first contacting us. For private-sector businesses in Bavaria, the Bayerisches Landesamt für Datenschutzaufsicht (BayLDA) provides complaint information at www.lda.bayern.de. Rights under applicable Indian data protection law also remain available.
11Children
This website is intended for adult business users and is not designed to collect children’s information. Do not submit information about a child. If you believe such information has been provided, contact us so we can investigate and delete it where appropriate.
12Changes and contact
We will update the date and version when this policy changes. Material changes will be brought to your attention as required by law. New purposes that require fresh consent will not be introduced simply by changing this page.
